TITLE:                      Administrative Assistant

 

REPORTS TO:         General Manager

 

SUMMARY

Performs secretarial and administrative functions for the General Manager and other managers, as requested, maintaining strict confidentiality in all matters not identified for further communication.

 

DUTIES AND RESPONSIBILITIES

Produces confidential correspondence that is consistently error-free and composed in an acceptable format.  Maintains classified and comprehensive system for record retention and retrieval.  Prepare or assists effectively in the preparation of proposals, reports, presentations and special projects.  Maintains an automated system of scheduling personal work activities, the daily/weekly appointments of the General Manager and the administrative conference room.  Makes travel and lodging arrangements for all Grand River Casino personnel.  Exercises independent judgement in actions regarding company matters within established parameters.  Composes replies to inquiries and other business correspondence.  Retrieves, opens and sorts all incoming mail and prepares all outgoing mail, including operating and maintaining postage meter machine.  Greets and directs visitors and receives and/or transfers telephone calls appropriately.  Responds to guests, employees and callers in a consistently timely, professional and courteous manner. Employee shall comply with all BSA/AML regulations, reporting, and training requirements – Specifically those in the Grand River Casino Written System of Internal Controls (and appendices) for BSA/AML Compliance. Other duties as assigned.

 

PREREQUISITES

General:

Must be 21 years of age.  Must have a valid driver’s license.  Must obtain a Standing Rock Tribal “Non-Gaming” license.

 

Education:

Minimum of one year of post-secondary education in business office administration or other applicable discipline, or equivalent experience in addition to that which is indicated below.  Must be able to communicate in the primary language used in the workplace.

 

Experience:

Minimum of two years of experience performing administrative duties in a corporate or governmental environment, including some bookkeeping responsibility.

 

Skills and Abilities:

Proficiency required in the operation of personal computer, using word processing software (Microsoft Word), spreadsheet software (Microsoft Excel), email software (Microsoft Outlook) and Microsoft Publisher.  Requires keyboarding speed of at least 60 words per minute, while maintaining accuracy.  Familiarity preferred in the use of presentation graphics software (Microsoft PowerPoint).

 

Physical:

Requires repetitive hand/fingering motions, sitting for long periods, bending, reaching, normal (or corrected to normal) hearing and visual acuity, verbal skills.
